Spare parts inventory management is the tracking of what parts exist, where they are, which are committed to upcoming work and which are genuinely available, recorded as a ledger of movements rather than as an editable quantity, so that a balance is always explained by the transactions that produced it.

The phrase that separates the workable from the decorative is genuinely available. A balance of four means nothing if three are reserved for Thursday. Systems that only track a number teach technicians to go and look in the cupboard, and once they are doing that, the system is documentation rather than infrastructure.

Movements are append-only for the same reason financial records are. A stock figure that somebody can simply type over is a figure with no history, and the discrepancy you most need to investigate is the one that was quietly corrected.

Why parts systems get abandoned

Because they ask a technician holding a broken pump to do bookkeeping, and that transaction loses every time.

The moment of failure is specific and universal. A technician needs a part. They take it. Recording that they took it helps a stock report, not the repair, and the repair is what the ward is waiting for. So the part is taken and the record is not made, or is made later from memory. Within a quarter the numbers are fiction, and the first person to discover it is the one who drove across town for a part the system said was in stock.

The second failure is stock that exists but cannot be found. Counted, recorded, sitting somewhere nobody can name. This is not really an inventory problem, it is a location problem, and a system that tracks quantity without location produces a confident number and an unproductive afternoon.

The third is the expired part fitted in good faith. Lot and expiry are tracked in a spreadsheet by someone diligent, that person changes role, and the diligence leaves with them. Nothing announces the change, because a spreadsheet cannot escalate.

Parts committed to upcoming work are visibly committed, so available means available. Reservations expire, because a part held indefinitely for a job that evaporated is a part that does not exist.

Lot and expiry travel with the part

Tracked on the record and surfaced as expiry approaches, rather than living in one person's spreadsheet and leaving when they do. A recall that names a lot becomes answerable rather than a search.

Counts reconcile rather than overwrite

A stock count produces an adjustment transaction with a reason, not a silent replacement. The difference between what was expected and what was found is the single most interesting number a store produces, and overwriting destroys it.

Why shortage should be visible before the technician finds it

Because a part discovered missing at the point of use has already cost the downtime it was meant to prevent.

Reorder points are unglamorous and they are the entire value of a parts function. A worker evaluates stock against the thresholds you configure and raises a shortage as work, before the repair that needs it. The money follows the same rules as everywhere else

Part costs are stored with their original amount and currency, immutable. Conversions live separately with their rate id, source and timestamp. Confirmed cost and estimated cost are different records and are never merged. A parts ledger that quietly revalues history is a parts ledger that cannot support a business case, and the business case is usually why anyone is looking.
