The textbook answer is that a CMMS manages maintenance and an EAM manages the asset over its whole life. That is broadly true and almost useless in a procurement, because the labels are applied so loosely that neither tells you what a product actually does. Here is the real distinction, and the questions that survive it.

A CMMS, or computerised maintenance management system, manages maintenance work: work orders, schedules, technicians and parts. An EAM, or enterprise asset management system, manages the asset itself across its whole life, including procurement, cost, depreciation and replacement, with maintenance as one part of that.

The cleanest way to hold the difference: a CMMS is organised around the job, and an EAM is organised around the thing. Ask each what its central record is. A CMMS answers the work order. An EAM answers the asset.

That distinction is real, and it matters less than the sales conversation implies, because most products in this category now claim both words. The label has become a positioning choice rather than a description, which is why the rest of this page is about what to ask instead.

Why the labels are unreliable in practice

Because every CMMS has added asset fields and every EAM has added work orders, so both words now describe the same demo.

The categories were distinct when they were built for different buyers: a CMMS for a maintenance department, an EAM for a finance function with a large capital estate. Two decades of feature parity later, every CMMS has an asset register with cost fields and every EAM has a work-order queue. The words survive as marketing rather than as description.

The result is a procurement failure that is entirely predictable. A hospital asks whether a product is a CMMS or an EAM, gets an answer, and buys on the strength of a category. Six months later the actual question surfaces, which was never the label: it was whether the maintenance history and the money live on the same record. If they do not, no amount of either word helps.

This matters more in healthcare than in most sectors, because the question that justifies the spend is inherently cross-cutting. Which devices cost us the most and why requires repair history, parts, downtime and purchase price to be facts about one object. A product can be called anything and either do that or not.

What to ask instead of asking the category

Four questions that get a real answer regardless of which word the vendor uses.

What is the central record, and can I see it?

Ask them to open one device and show you everything: maintenance, calibration, incidents, parts fitted, downtime, cost, documents. If that takes four screens and two systems, the category label is irrelevant, because the answer to your real question is no.

Where does the money live?

If costs are in a finance system joined by a spreadsheet, you have a CMMS whatever the box says. If the maintenance history is a summary imported nightly, you have an EAM whatever the box says. Either can be right for you; discovering which one you bought afterwards is the problem.

What happens when a device fails its safety test?

This is the healthcare question neither category answers by default, and it discriminates better than either label. Generic products in both categories treat return to service as a status field rather than a gate.

What does a device with no data show in a report?

Also category-independent, and also decisive. If missing data renders as zero or as compliant, the product will flatter you regardless of what it is called.

Which one does a hospital actually need?

Usually the EAM shape and the CMMS reflexes, which is why so many estates end up with both and a spreadsheet between them.

The honest answer for medical equipment is that the useful product has the EAM's centre of gravity and the CMMS's daily rhythm. The asset has to be the record, because the questions that justify the budget are lifetime questions. But the day-to-day surface has to be the job, because a technician standing in a plant room does not care about depreciation.

Most hospitals arrive at this by buying a CMMS, discovering it cannot answer the finance question, and adding a spreadsheet. That spreadsheet is the tell: it exists because two systems describe the same devices and neither is complete, and it will be maintained by one conscientious person until they change role.

Neither category assumes a gate that cannot be overridden, a calibration record that is only as good as the instrument that produced it, or a compliance figure where the absence of a failed test must never read as a passed one. Those are not features you can add later to either shape; they are assumptions about what the software is allowed to do, and they are the actual difference between a generic product and one built for medical equipment.
