What is medical equipment asset tracking?

Asset tracking
Asset tracking is maintaining a verified record of each piece of equipment: what it is, where it is, what state it is in, who is responsible for it, and what has happened to it.
The word doing the work is verified. A list somebody typed in once is an inventory; a register has been confirmed against reality.
The second distinction is history. Current state answers "where is it". Accumulated faults, tests, parts and downtime answer "should we still own this".
Why registers rot
Because equipment moves and records do not. Every register is accurate on the day it is built and decays from that moment unless something fights the decay.
A pump is borrowed by theatre and never returns; a reorganisation redistributes equipment past the register entirely. None of this is misbehaviour. It is a hospital working.
The traditional answer, an annual clipboard audit, produces a register that is accurate for about a week and a belief that it is fine.
The structural answer is to make the equipment participate. A QR code turns every fault report, test and scan into a fresh observation of where the asset is. The register becomes a side effect of the work.

What a register has to carry
Identity alone is not enough. These fields turn a list into something the rest of the system can stand on.
Identity that survives relabelling
A stable identifier that is not the serial number, the model, or a sticker. Uniqueness is enforced; duplicate review exists because migrations always produce duplicates.
Location, and the scope that follows from it
Assets belong to locations and departments. A location switcher scopes the workspace, and users only see the locations they may access.
Condition and lifecycle state
Planned, received, inspected, installed, commissioned, operational, quarantined, transferred, retired. One explicit state machine, every transition permission checked and audited.
Components and parent relationships
Real equipment is assemblies. Components attach to parents, circular relationships are prevented, and a fault on a component is visible on its parent.
A real photograph
Images are stored as bytes and viewable, at registration and afterwards. A picture of the device beats a model number for the technician trying to find it.

What each level of asset record can actually support
When to start, and what to leave out
Start before the register is perfect. The only thing that improves a register is using it.
The common failure is sequencing: complete the register, then deploy. A register built without operational feedback is full of unnoticed errors. Import what you have and let real fault reports find the rest.
The other discipline is knowing what not to record. Forty fields per asset, thirty of them empty, teaches everyone the data is decorative. Record what someone will act on.

Yes. Transfers move custody while preserving history, so a moved asset keeps its record. Isolation is enforced at the database row by organisation id and row level security.
