An equipment QR code is a printed label carrying a unique identifier for one physical device, which resolves to that device's record when scanned, allowing a fault to be reported against it or work to be attached to it without anyone typing a serial number.

The identifier is the whole point. Four identical infusion pumps on one ward are indistinguishable in conversation and completely distinct in the register, and everything downstream, the history, the cost, the reliability picture, depends on the record attaching to the right one of the four.

Rydya also resolves barcodes, lot numbers, serials and work items through the same scan. The label on the device is the common case, but the mechanism is identification generally rather than one symbology.

How a scan becomes a fault report

Why the label matters more than it looks

Because the two biggest data problems in equipment management, faults that never get reported and registers that drift, are both fixed by the same sticker.

Reporting a fault today costs a nurse a chain of steps. Find out who to call. Call them. Describe a device you cannot identify precisely. Repeat the description. Discover later that nothing happened. The rational response is to work around the broken device and tell nobody, which is exactly what happens, and it is why the fault log in most hospitals is a record of the problems that were annoying enough to overcome that friction rather than a record of the problems.

The register problem has the same shape. Devices move, moves go unrecorded, and the register describes a hospital that no longer exists. Every scan is a free confirmation that the device is where the record says it is, produced by somebody who was doing something else anyway.

Neither of these is solved by a better form or a stricter policy. They are solved by removing the step where a human has to identify a device from memory.

Anyone can report, with no account

The scan opens a public form already bound to that device. No login, no app install, no training. The reporter gets a reference to check status, so telling somebody is not a message thrown into a void, which is the thing that stops people bothering a second time.

A photo comes with it

Optional, image-only, size-limited, stored as real bytes rather than a filename. A picture of the actual damage taken at the moment of discovery routinely does more triage work than a paragraph of description.

Technicians scan to attach work

Starting a job by scanning means the checklist, readings and evidence attach to the right one of the four identical pumps, without anyone reading a serial number off a worn label in bad light.

Every scan is a location confirmation

The accuracy of the register becomes a by-product of work that was happening anyway. This is the quiet compounding benefit, and it is why deploying labels early beats perfecting the register first.

A public report is not public access

The code identifies a device for reporting. It is not a credential, and it does not expose the device history, cost, maintenance record or anything else to whoever scans it. A scanned code gets a form and a status reference. Everything beyond that requires an account, a permission check on the server, and row level security at the database. The label being on a wall in a corridor is precisely why this boundary has to be enforced rather than assumed.

When to label, and what to label first

Early, and starting with the equipment where an unreported fault costs the most rather than with whatever is nearest the store room.

Labelling an entire estate before turning anything on is a project that takes months and delivers nothing until it finishes. Labelling the equipment that matters most takes an afternoon per ward and starts paying immediately, because the first unreported fault that gets reported is worth more than a complete label run that nobody has scanned yet.

The practical sequence: import the register, print codes for the devices where downtime genuinely hurts, put them somewhere a person holding a phone can actually reach, and give technicians the mobile surface the same week. Labels on the back of a machine bolted to a wall are a lesson every estate learns once.

Questions

Does someone need an account to report a fault by scanning?
